How to achieve best practice stewardship with low resources

Use these tips to nurture your donor relationships without using additional resources

While most fundraisers will agree that stewardship should be central to the fundraising strategy, many teams find themselves low on resource and time, and have to focus on soliciting donations ahead of nurturing relationships with their supporters. To this end, software can help fundraisers to cut back on time spent on stewardship, while maintaining a strong record of engagement with donors. Simple tactics that don’t require any additional resource are a great way to ensure that your donors maintain their warmth towards your cause, and feel personally thanked. Here are some quick wins for stewarding your donors:

1. Send a special thank you on their birthday

Automated birthday emails are a brilliant way to get personal and show appreciation for your donors on their special day. With ToucanTech, automated birthday emails are sent out each day and can be tailored to different segments of your donor database. This also serves a dual purpose of keeping your cause close to the front of their mind on a day where many choose to ask friends and family to support a cause in their name!

2. Track engagement across your database

Your database may hold prospects, engaged donors and non-engaged donors, so it’s important to be able to track and move people to the correct group based on their engagement. Using dynamic groups, you can ensure that your supporters receive a tailored experience based on their previous interactions.

3. Share tailored updates with your supporters

Easily send tailored email communications by choosing to segment your audience using a range of engagement filters, including payments made in a date range, email opens and event attendance. Show your donors that you care about how they are interacting with you, and share news and updates that are the most relevant for them. For example, if they attend an event on funding a new community centre, ensure to follow up with an email summary of the information and ways to get involved.

4. Encourage their next donation based on your donor pipeline

Keeping track of how your prospects are progressing in your donor pipeline is useful, but you can go one step further to keep conversations moving forward and ensure prospects stay warm. By filtering your database by those sitting at one stage of your donor pipeline, or for a specific fund, you can send tailored communications, invite to an event or export a list to call.
