The challenge

Before adopting ToucanTech, Winchester College faced several hurdles in managing their development and alumni engagement. Event planning was time-consuming, with complicated setups slowing down the event management process.

Communications also often felt inconsistent and too generic, making it harder to build meaningful connections with their community. In addition, siloed systems created barriers to managing donor relationships and tracking engagement effectively.


The solution

To address these challenges, Winchester College adopted ToucanTech’s comprehensive and powerful platform, to bring events, fundraising, mentoring, and communications into one system.

The events functionality streamlined event creation and management, helping the school increase from 96 to 120 events in a single year, with updates now reflected instantly across their website.

Fundraising has also been transformed, enabling Winchester to process more than 350 gifts — an achievement representing 75% of their £1 million annual target, something that would have been far more difficult using their old tools.

The launch of a new careers and mentoring platform in June 2023 was another milestone. Surpassing expectations, the school enrolled over 250 mentors within seven months, far exceeding their original target.

Finally, communications have improved significantly through ToucanTech’s email functionality. With easy-to-use segmentation and content integration, Winchester College now delivers more regular, targeted, and engaging updates to its community.


The impact

The introduction of ToucanTech has freed Winchester College from the frustrations of slow processes and disconnected systems. With more efficient tools in place, the team can now dedicate energy to building relationships rather than wrestling with admin.

The platform has also helped generate stronger momentum across fundraising and engagement activities, and donors are supported by a more seamless giving experience. Alumni and parents also benefit from clearer, more regular communications.
